How to Choose an AI Tool That Fits You

Business owners keep asking me which AI agent to pick. I don’t answer with a brand. I answer with five rules, and only two of them actually decide it.

People ask me the same question almost every week.

“Which AI agent should I pick? Claude Code? Codex? Grok Bot? One of those managed ones that sets itself up for you?”

It’s a fair question. There’s a new tool every month, every one of them claims to be the best, and nobody running a small business has time to test them all.

So here’s how I actually look at it. Not with a ranking. With principles.

The Wrong Question: “Which One Is Best?”

“Best” changes every few months. A model that leads today gets passed next quarter. If you choose by leaderboard, you’ll be choosing again soon, and every time you switch you pay for it.

So I don’t start with the tool. I start with what I need the tool to be.

My Five Rules for Picking an AI Agent

I want it to be:

  1. Productive. It actually gets the work done.
  2. Reliable. I can count on it every day, not just in the demo.
  3. Simple. I don’t need to be technical to use it.
  4. Built for infinite potential. It can take on more as the business grows.
  5. Free of vendor lock. I don’t want to marry any AI provider.

Now let’s run the options through them.

The First Two Rules Don’t Decide Anything

Are they productive? Yes. Today they’re all productive.

Are they reliable? Pretty much. You could argue a little more or a little less for any of them, but none of them fails this test.

That’s actually the good news. It means you can stop agonizing over which model is “smarter.” For the work a small business needs done, they’re all good enough. The real difference is somewhere else.

Simple vs. Potential: Where the Choice Gets Real

Here’s where it splits.

A fully managed agent like Grok Bot is probably simpler to start with. You sign up, it’s running, you don’t think about it.

But ask the other question: what could I do with it a year from now?

With Claude Code and Codex, the answer is close to anything. You can connect them almost anywhere, to your email, your files, your calendar, the apps you already use, and you can direct them to do almost any task. A managed agent only does what it was built to do. That’s the ceiling you don’t see on day one.

For me, that’s the point where they win. Simple is great for starting. Potential is what you need for growing.

The Rule Most People Skip: Can You Leave?

This is the one I care about most, and it’s the one almost nobody checks before signing up.

I don’t want to be tied to any provider. So I ask: if I want to leave tomorrow, what happens?

With a fully managed agent, I honestly don’t know. I don’t know how I’d take my data out and start over somewhere else. My guess is it would be very, very difficult. Everything you taught it, every workflow, every bit of context about your business, lives inside someone else’s system.

With the way I work, switching is simple. The agents I build live in plain files on the client’s own computer and in their own cloud accounts, not ours. The instructions, the memory, the context about the business: all of it is theirs, in a form any provider can read. If a better tool shows up next year, they can move to it without starting from zero.

That’s why I build this way. The agent is yours. You own it, and you can walk away with it whenever you want.

So Which One Do I Pick?

Not the one with the best headline this month.

I pick the one that passes all five rules, and in practice, the last two decide it: does it have room to grow with me, and can I leave with everything I built?

Today that points to tools like Claude Code and Codex, set up in a way where your work stays yours. Next year the names might change. The rules won’t.

Run any AI tool you’re considering through those five questions before you commit. It takes five minutes and can save you from starting over later.
